The historic building of The Dylan in the heart of Amsterdam is not just any hotel. The appeal of this five-star destination goes beyond its prestigious location: it is the genuine attention and dedication of the hospitable team that give guests a sense of unrivaled luxury and exclusivity. Not least thanks to Michelin-starred Restaurant Vinkeles, where guests also enjoy an unrivaled dining experience. How does The Dylan make sure there are always enough qualified staff to maintain this exceptional standard?

Meet The Dylan

The Dylan is a heritage site with its roots in the very first theater in the Netherlands. In the 1990s it was transformed, growing from the city’s very first boutique hotel into an intimate destination with 40 rooms. The Dylan also stands out for its outstanding fine-dining restaurant, which holds two Michelin stars. As a member of “The Leading Hotels of the World,” the hotel is a byword for exceptional quality and service. This commitment to excellence shows in their motto: “We go the extra mile for our guests.”

Handling peak moments

That level of quality requires a proactive and skilled team. Departments need to work together seamlessly. On top of that, the hotel expects employees to actively support each other and be willing to step outside their usual role where needed. This flexible, dedicated attitude is crucial. Not only for full-time staff, but also for the growing group of part-timers and employees on zero-hours contracts.

“Dyflexis enables The Dylan to create schedules easily and make the best use of its flexible workers.”

An important pillar of such a flexible and dedicated workforce is the Dyflexis workforce management system. Dyflexis enables The Dylan to create schedules easily and make the best use of its flexible workers, says Robbert van Rijsbergen. This lets The Dylan respond quickly to peaks and dips in demand and solve unexpected staff shortages.

“Our part-timers are indispensable for completing our schedule,” says Robbert van Rijsbergen. “Dyflexis makes the scheduling process much easier and more efficient.”

With the Dyflexis system, The Dylan can manage the schedules of every department precisely: from the 24/7 front desk, housekeeping, sales and marketing, and accounting to the kitchen and food and beverage service. This not only ensures optimal scheduling for each department, but also encourages good collaboration between the teams. Thanks to that collaboration, staff can respond flexibly and efficiently to guests’ wishes and the hotel’s needs.

Even more benefits

Operational efficiency has also had a boost thanks to Dyflexis. With the central Rex-O-Matic time clock, employees clock in with a personal card of their choice, for example a public transport card or a Dyflexis card. They can even use an Android phone. The system accurately registers the hours worked per employee in the Dyflexis software.

This gives HR and managers real-time insight into staff attendance and working hours. That in turn is essential for correct payroll, keeping overtime under control and complying with the Working Hours Act.

Another important aspect is the automated calculation of allowances, for example for public holidays and night shifts. Thanks to the recent integration with AFAS, this process has become much simpler. The result: more efficient, error-free payroll administration. This improvement saves The Dylan a lot of time and effort.

Future plans

In the coming period, The Dylan wants to optimize its workforce management system further. The goal is a seamless integration with its reservation system MEWS and effective use of dashboards. That way, they want to improve operational efficiency and the overall guest experience even more.

“Our next step toward advanced workforce management is giving our operational staff more insight into what data can do. We plan to make data more accessible to our planners, so they can better anticipate fluctuations in guest numbers. That way we can match staffing to expected demand, especially at the front desk,” says Robbert van Rijsbergen.

The Dylan’s philosophy, “Automate the predictable, humanize the exceptional,” underlines their belief in automating routine processes. This creates more time and space for what really matters: personal contact with guests. By automating everyday tasks, they can spend valuable time on exceptional, personal service. This approach supports their goal of continuing to excel in hospitality. That is how The Dylan maintains its reputation as a world-class hotel. Ready to take the next step with your organization too?
