Since 1888, Schaap en Citroen Juweliers has been the place to go for jewelry, diamonds and watches. The rapid growth since the 2009 takeover and having multiple locations bring their own challenges. “We need a powerful system to register and approve hours and to handle HR and payroll administration simply and efficiently,” says Ellen van den Heuvel, HR Manager at Schaap en Citroen.
Schaap en Citroen
For several years now, Schaap en Citroen has worked with accountancy firm Accon avm, among other things for HR and payroll administration. “For years, Accon avm has used Loket.nl for all clients of Accon avm werkgeversservice. After seeing the benefits of Loket.nl, Schaap en Citroen was immediately enthusiastic,” says Martie Hegger of Accon avm.
Ellen van den Heuvel and Merel Overdijk, HR Managers at Schaap en Citroen, generally run HR and payroll administration themselves. “We are always in touch with Accon avm around payroll deadlines, and of course when we run into questions,” says Merel. Ellen adds: “The nice thing is that we have a fixed contact person at Accon avm, and we work together very pleasantly.
He also keeps us informed proactively when, for example, the collective labor agreement changes or new features are added to Loket.nl.”
Claiming travel or parking costs: a piece of cake
With Loket.nl, Merel and Ellen soon noticed they were working more efficiently. “It’s a logical, well-built system. And we see more and more handy features being added, like recently for the transition payment. For employees, the app, the Werknemerloket, looks clear as well. They can find their payslips there and submit expense claims, such as travel or parking costs,” says Merel.
Submitting expense claims really matters for Schaap en Citroen. Store directors and assistant store directors in particular regularly incur travel and parking costs for the business. “They simply submit them in the app, and they go straight to our CFO. Once he approves them, they are automatically included in the payroll,” Ellen explains.
Now for a staff scheduling system
However easy Loket.nl is for processing payroll, Schaap en Citroen was also looking hard for an application to easily schedule shifts and register working hours. To avoid duplicate work, the integration with Loket.nl was a plus. After a demo of Dyflexis, the choice was quickly made. “It was exactly what we were looking for: a user-friendly application that makes it easy to create staff schedules and sends the hours worked to Loket.nl.”
I still remember how rostering, scheduling and entering everything into payroll used to be a really time-consuming process. Completely unnecessary.
“Hours worked go from Dyflexis to Loket.nl at the push of a button”
“Our store directors create the schedules for their stores in Dyflexis. With a time clock system, all employees clock in as soon as they arrive and clock out when they finish work. Those are the registered hours. The store directors approve these hours and make sure all hours worked are correct in the system by a set date each month.
From there, Ellen and I do the rest. The hours worked are sent from Dyflexis to Loket.nl. That’s great, and it saves us so much time. I still remember how rostering, scheduling and entering everything into payroll used to be a really time-consuming process. And every store director also kept track of everything in a little Excel file, which is completely unnecessary if you ask me now,” says Merel.
More time for employees and customers
Using Loket.nl and Dyflexis has saved a lot of time for both Merel and Ellen and the store directors. “Retyping data is truly a thing of the past, and processing payroll in Loket.nl is easy. For example, hours with extra pay, like working on Sundays, are now automatically in the system. The time we save means we can focus much more on HR and give our employees more attention.
Store directors now need fewer manual steps to make a correct schedule. And let’s be honest: the less time they spend on tasks like this in the stores, the more attention they can give to customers. And that is what it’s all about. The customer comes first,” Ellen explains.
