As an HR and payroll professional, you need to do more than administrative work these days. You help shape the right strategy and structure for your organization, and colleagues come to you for personal advice. To have the time and space for that, it helps to automate certain tasks, such as payroll administration. Automation plays an ever bigger role in companies, but what exactly does it involve, and what are the benefits? We talked to Tim Claassen, founder of Fhris, and took a fresh look at the future of HR together.

Meet Fhris

Fhris offers a digital HR portal built specifically for companies. It is a complete package for HR and payroll professionals, built on AFAS software, in our view the best software for HR and payroll.

Tim: “Fhris was founded in 2019 as part of Mettom, because we noticed that companies, however small or large, need focus, grip and control over their personnel and payroll administration. So we decided to offer our clients the same software we use for our own HR. And with success: four years after it was founded, Fhris helps 150 clients every day, and the team has grown to 28 people. If you include Mettom’s clients, we even serve 400.”

To offer customers the best possible shopping experience, it is important to involve employees in every process

The Fhris team is always up to date on the latest developments in HR and payroll. Combine that knowledge with their client experience and you have a winning formula. Tim says: “The great thing about AFAS software is that you can set it up exactly the way you want. With our years of experience, we now know the best practices for implementing the system. Thanks to that knowledge, we’ve created an environment where we connect clients plug-and-play, with no implementation costs, while taking their personal wishes into account. Those differ per company, of course, but the core is the same for everyone: automating payroll administration.”

The benefits of automation

One of the biggest benefits of the Fhris portal is the structure and overview it provides. When you log in, the dashboard shows a task box with things you still need to finish. That brings clarity and insight into your administration.

Tim: “All HR and payroll work consists of administrative tasks. We believe you can automate every administrative process. That way you get more done in less time and keep room for other things. We see a shift in the HR profession: it is becoming more and more focused on people and the organization. Professionals spend more time on a personal approach to HR matters and actively contribute to company policy. So the HR profession isn’t disappearing, it’s changing. Automating administrative tasks supports that development.” Besides the time automation saves, there are more important benefits:

  1. Creating uniformity People all work in their own way, so everything they deliver is different. When you use software, processes become uniform, because every task is built into workflows. That way everyone works the same way. Tim: “Besides showing whether anything still needs doing, everything is also logged. That way files build up automatically, and the administration is transparent for both employees and employers.”

  2. Minimizing errors On top of creating uniformity, you also make sure fewer people make mistakes. The workflows standardize payroll administration. That means you always use the right legal document and have one central entry point in a single system. The software integrations exchange data between systems automatically and without errors. This prevents the error-prone work of entering data by hand in several programs.

  3. Independent of one payroll administrator Tim: “Before companies come to us, they often depend on a single payroll administrator. That’s a risk, because nobody else in the organization understands payroll. If that person drops out, there is no knowledge or expertise in-house to cover it.” That’s why companies do well to outsource this specialist work. That way, you make sure employees are always paid correctly.

“We believe you can automate every administrative process. That way you get more done in less time and keep room for other things.”

The powerful combination of HR and WFM

The biggest similarity between Fhris and Dyflexis is that both software solutions take administrative work off your hands. Tim: “One of the conditions for doing our work at Fhris well is that our clients have correct time registration.” Clients provide that through a workforce management package such as Dyflexis. Fhris works with several kinds of software partners, but this partnership looks different.

Tim explains: “Like us, Dyflexis is a young, growing and ambitious company. We understand each other in that and complement each other. We also really click with Partner Manager Joris van Daalen: we can switch quickly and easily with each other. That keeps the lines short.”

Thanks to the Dyflexis workforce management software, your time registration is always correct. When you connect Dyflexis to our portal, this information is exchanged automatically.

Tim: “Thanks to the Dyflexis workforce management software, your time registration is always correct. When you connect Dyflexis to our portal, this information is exchanged automatically. The integration works well, and it’s an extension of HR and of our services. Because we implement the correct salary data, collective labor agreement, allowances and exception rules, every pay calculation is correct. It’s a golden combination: Dyflexis for registering hours, Fhris for processing pay. The only thing you as an administrator still need to do is approve the payment.”

That workforce management combined with HR software has its benefits is clear from one of the shared clients of Dyflexis and Fhris. They grew from 150 to 320 employees. Tim: “Thanks to our integration, the HR department still spends the same amount of time on payroll processing, even though the number of employees has more than doubled. So thanks to automation, they get twice as much work done.”

The time saved creates room for other HR work, such as advising and policy-making. They do that with the dashboards and reports in Dyflexis. Fhris makes this data visible and advises the client based on it. The client’s HR department then gets to work with it to make their operations even more strategic.

Tim: “This is a great example of how well our systems complement each other. We simply see that it works and that it really helps companies. That’s why we’re going to offer more of these combined HR and WFM packages in the future.” Fhris then holds an intake with clients and listens carefully to their needs. Because they know exactly what the different workforce management systems can do, they know which software is the best match for the client.

“We often recommend Dyflexis, because it simply lets you do the most. Then we both put our specialists to work. Dyflexis does its software implementation and we do ours. That way we offer our clients the best of both worlds, with smooth automation as the end result.”

A fresh look at the future

What does the future of automation look like? Tim: “To develop ourselves and help our clients as well as possible, we keep listening critically. We organize feedback sessions and look at developments in the industry and in the world.” As soon as a new need for automation arises, they respond to it straight away. “We’ll keep automating until there’s nothing left. We’ll keep going until you don’t even have to check anything yourself and everything runs completely by itself.”

That is the ultimate goal Fhris and Dyflexis are working toward together: not just saving time and costs, but a fully future-proof step up in professionalism.
